We are throwing this event:
The event that we plan on conducting is a flag football game between the current Washington Commanders team and Local High School Area Players. A list of the top high school players in the DMV will be contacted to see if they are interested in the event. This game will be a free event open to the public. The purpose of this event is to draw interest for the Washington Commanders team and to get the fanbase more excited about the upcoming season by getting involved in the community. The goals for this event includes to increase ticket sales for the upcoming season by promoting the team in a positive light. Another goal for this event is to get more fan engagement and more interest for the Washington Commanders by allowing local high school players to have the opportunity to play against commanders players. Do the following: Date and Time –State the exact full date (including day of the week) and time of the event. Clearly explain and justify the date and time, keeping in mind competing events, accessibility for the target audience, necessary lead-time and weather. Explain if there is a weather contingency plan in place, what it is, if one is needed or not and why.
Audience – Explain in detail who your target audience will be. Think about demographics, age, gender, interests, geographic area, etc. Give an estimate of how many people you are expecting at your event and explain how you arrived at that number. Describe how your audience will register for the event. You will need to include the admission price and indicate if tickets will be sold in advance or if they are sold at the door or both.
Activities – Describe each of the activities that will make up and take place at your event. Be sure to answer the following questions when preparing this section: What activities am I planning for my event?How am I arranging those activities? Who will manage/perform the activities? What will my program/schedule look like? For each activity, you should include a detailed description, samples, photos, etc. Examples of “activities” might include such things as: entertainment, guest speakers, rides, children’s games, exhibitor booths, demonstrations, silent auction, dancing, contests, competitions, door prizes, etc. We came up with these so include them: Mini basketball game (winner gets a prize), area with Mini games, Beer tasting, Raffle at the end of the event. (The winner gets a game-worn jersey.) Fans get to play 1 vs 1 against each other.
Risk Management – Clearly identify at least three specific risks that apply to your event. For each of the three risks, carefully explain:
1) Why the event is prone to the given risk and what problems or obstacles do you foresee?
2) How can you prepare for these?
3) What are your solutions if these problems occur?
